Inkle

Scope: the entity's expense recognition schedule — how billed/prepaid expenses are recognized over time (prepaid amortization / deferred expense). Returns recognized vs deferred expense by period for the given date range. Use for 'what's the expense recognition schedule' or prepaid-amortization questions. Disambiguation: expense side only — for the revenue side use get_revenue_recognition, for outstanding vendor bills use get_bills. Prerequisites: get the entity_id from get_company_entities.

get_expense_recognition

Scope: whole group, all entities, grouped by pipeline stage. Returns every filing bucketed by client-visible status (In Queue, Preparer Assigned, Prep in Progress, Internal Review, Ready to File, Filed, Amendment, On Hold), each with entity name, filing name, deadline, season, and client progress. Use to answer 'where is each filing in the pipeline'. For one entity's season detail use get_tax_filings.

get_filings_by_status

Scope: ONE entity. Returns the entity's financial statements — Income Statement (P&L), Balance Sheet, and Cash Flow — as an account hierarchy with amounts, over a start_date/end_date range (defaults to year-to-date). Needs company_entity_id; call get_company_entities to get it.

get_reports

Scope: the entity's fixed assets and their depreciation. Returns a paginated list of fixed assets, each with name, purchase price, depreciation start, useful life, and accumulated depreciation. Use for 'what fixed assets does the company have' or depreciation questions. Disambiguation: fixed-asset register only — for the accounts these post to use get_general_ledger. Prerequisites: get the entity_id from get_company_entities.

get_fixed_assets

Scope: the general ledger for one entity — every account with its net balance over the period, plus the overall trial balance. Returns per-account debit/credit balances and a trial_balance_amount, on the chosen accounting basis. Use for 'what's the balance of each account', trial-balance checks, or a period balance summary. Disambiguation: this is per-account balances + trial balance — for the raw line items behind an account use get_transactions, for posted double-entry lines use get_journal_entries, for the account structure alone use get_chart_of_accounts. Prerequisites: get the entity_id from get_company_entities.

get_general_ledger

Scope: whole group. Lists the tax years/seasons configured for the group, each with a 'year' and an 'is_active' flag. Call this first to discover valid seasons before any season-scoped tool (get_tax_filings). When the user doesn't name a season, default to the previous calendar year (the most recent completed tax year), not the current calendar year, which is usually not a filing season yet.

get_group_tax_years

Scope: posted journal (ledger) entries for one entity — the double-entry accounting records, including manual and recurring journal entries. Returns a paginated list of entries, each with date, description, and its debit/credit lines. Use for 'show the journal entries' or to inspect specific postings and adjustments. Disambiguation: these are posted double-entry records — for the raw bank/card feed use get_transactions, for per-account balances and trial balance use get_general_ledger. Prerequisites: get the entity_id from get_company_entities.

get_journal_entries

Scope: whole account (company group). Lists the physical mail Inkle has received and scanned for the account, newest first. Returns each item's title, who it was received from, who it was addressed to, the date received, whether it arrived at the mailroom or the registered agent address, and its handling status — plus the scanned file's uuid. Pass that to get_document_link for a link the user can open, which is usually what someone asking about their post wants; use get_document_content only when asked to review what a letter actually says. Use for questions about post the company has received; for tax notices as filings use get_tax_filings. Narrow with search_term, filter_statuses, or filter_type, and page with page_num.

get_mailroom_inbox

Scope: the entity's revenue recognition schedule — how invoiced revenue is recognized over time (ASC 606 / deferred revenue). Returns recognized vs deferred revenue by period for the given date range. Use for 'what's the revenue recognition schedule' or deferred-revenue questions. Disambiguation: revenue side only — for the expense/prepaid side use get_expense_recognition, for outstanding customer invoices use get_invoices. Prerequisites: get the entity_id from get_company_entities.

get_revenue_recognition

Scope: ONE filing (needs a task_id) — the one-stop detail view. Returns the filing's workflow progression, current state, deadline, payment breakdown (service/government/penalty fees), invoices, assigned CPA, attached documents with the uuids get_document_content reads, and the CPA chat channel url. For the list of a season's filings use get_tax_filings; for an all-entities view use get_filings_by_status. Get the task_id from the task_uuid field of get_tax_filings — ids returned by get_action_items are message ids, not task ids.

get_tax_filing_detail

Scope: ONE entity, ONE season (needs entity_id + season) — the drill-down list. Returns that entity's filings for the season, each with form/task title, status, deadline, payment details, outstanding action items, and a task_id to pass to get_tax_filing_detail. Call get_group_tax_years for seasons and get_company_entities for the entity_id. For an all-entities group view use get_filings_by_status instead.

get_tax_filings

Scope: raw bank/card line items for one entity — the individual transactions that flow in from connected accounts. Returns a paginated list of transactions, each with date, description/merchant, amount, cash-flow direction, and its assigned category. Use for 'show me the transactions' or to inspect specific spend. Disambiguation: this is the underlying transaction feed — for per-account balances and the trial balance use get_general_ledger, for posted double-entry lines use get_journal_entries, and for the account structure use get_chart_of_accounts. Prerequisites: get the entity_id from get_company_entities.

get_transactions

Scope: ONE entity's accounts-payable. Returns the entity's vendor bills — bill number, vendor, amount, status, and dates — money the company owes its vendors, NOT Inkle filing/service fees (those are in get_tax_filing_detail). Optionally filter by start_date/end_date (bill date). Needs company_entity_id.

get_bills

Scope: ONE entity's accounts-payable. Returns the entity's vendor/merchant list with per-vendor totals — name, type, total transaction amount, and transaction count. Use for who the company pays / vendor totals; for the individual bills use get_bills. Needs company_entity_id; supports optional search_term and page_num.

get_vendors

Scope: ONE entity. Lists the entity's bank-account reconciliations — the periods where the books were checked against a bank statement — with their dates, bank account, status, and the id each one is known by. Use it to answer whether a period has been reconciled, and to get the reconciliation ids that export_bank_reconciliation_report requires. Needs company_entity_id; call get_company_entities to get it.

list_bank_reconciliations

Scope: whole account. Without company_entity_id: lists all entities with their uuid, name, formation type, state, EIN, and status. With company_entity_id: validates that id and returns that entity's details. Call this before any entity-scoped tool (get_reports, get_invoices, get_tax_filings) to obtain the entity's uuid.

get_company_entities

List every file stored on the account (company group), each with its uuid, name, and preview path. Documents are group-scoped, so no entity id is needed. This is the whole-account inventory in one call — use it to find documents by name, then pass a uuid to get_document_content to read one. For a large account, use search_documents instead.

list_documents

START HERE. Call this FIRST, before any other Inkle tool, to decide what to use. Returns the full catalog of available tools grouped by domain and subdomain, plus a flat 'all_tools' list of every tool with its description. Optionally filter to a single domain. Use it to pick the right tool for a question instead of guessing from tool names.

list_inkle_capabilities

Search the account's (company group's) files and folders by name — case-insensitive, minimum 3 characters. No entity id needed (documents are group-scoped). Returns matching files and folders, each with its uuid, name, file_type, and parent folder. Use it to locate a document when you have a name to go on, then pass a returned file uuid to get_document_content to read it. Paginated.

search_documents

LAST RESORT — use only when no other tool can answer. Every other tool reads the customer's actual data; reach for one of those first and only fall back here when the question is not about their data at all, or when a tool returned nothing because the capability is not exposed over this connection. Searches Inkle's product documentation and returns the matching pages with a link to each, pointed at the caller's own entity so the link can be handed to the user. Answers how to do something in Inkle, where a screen lives, or what a feature does — and gives the user somewhere to go when the action itself has to be done in the app. Never returns figures, balances, filings or documents; for those use the data tools. Pass the user's question as query.
